Circolo to Power Sports Travel Experiences’ 2027 Rugby World Cup Packages

Australian event project management platform Circolo will support Sports Travel Experiences to deliver a range of travel and hospitality packages for the 2027 Rugby World Cup in Australia.

Sports Travel Experiences will use Circolo to bring ticketing, accommodation, customer information, travel options, document collection and event operations into one connected platform.

The company is developing packages for multiple matches across the tournament, including quarter-finals, semi-finals and the final. Options will combine match tickets with accommodation and selected experiences, with customers also able to add commercial flights or private aviation.

Sports Travel Experiences’ Jason Cutler said the complexity of combining multiple products made a reliable and flexible event platform essential.

“We have tickets for multiple games, different ticket categories and hospitality packages,” Jason said.

“Everything we are selling will be packaged with accommodation and experiences rather than offered as an individual ticket. Customers will also have options such as commercial flights or private charter flights.”

Each package will be established as an event within Circolo, allowing the Sports Travel Experiences team to manage the customer journey and operational requirements from a central workspace.

The platform will allow customers to review packages, select preferred options, provide required information and complete their booking through a streamlined online process.

Jason said Circolo would help Sports Travel Experiences avoid the disconnected systems and manual processes that often make complex travel packages difficult to administer.

“I’m not from a software background, so I needed a reliable technology and ticketing partner that could help us develop each package,” he said.

“It also had to be very user-friendly for the customer. People want to see the event they want to attend, choose their hotel, understand the price and check out. It needs to be seamless.”

More than event management

The partnership reflects Circolo’s focus on event project management rather than ticketing alone. Its platform connects the different parts of an event, including registrations, forms, documents, guests, suppliers, tasks, budgets, run sheets and check-in.

For Sports Travel Experiences, Circolo’s document collection capability will be particularly important.

As an official reseller operating across international markets, the company must accurately identify customers and comply with restrictions governing where packages can be advertised and sold.

“Circolo’s document collection capability is going to be imperative to what we are trying to do,” Cutler said.

“We need to know our clients and report where they are from because there are territory restrictions around where we can sell and advertise. It is quite a complicated process, so we need that document side of the platform.”

Delivering each package will require Sports Travel Experiences to coordinate match access, hotel availability, optional experiences, customer communications and travel arrangements. Each component may also involve different suppliers, deadlines and information requirements.

Single source of knowledge

Cutler said managing these elements through spreadsheets, email threads and messaging platforms would create unnecessary administrative work and increase the risk of important information being overlooked.

“There are so many people involved,” he said. “These packages are complicated enough without having to deal with multiple software platforms or trying to organise everything through email or WhatsApp.”

Circolo will provide Sports Travel Experiences with a single source of current information as its packages move from development and sales through to delivery during the tournament.

The platform will also support collaboration across the company’s five-person team in Australia and South Africa, including its marketing, administration and operations personnel.

Jason said Circolo’s team would also provide practical support as Sports Travel Experiences builds and launches the packages.

“I need people who can support us in the technology space,” he said.

“I don’t want to hire a software developer just to get these packages live. Circolo gives us the platform and support to make the entire process easier for our team and, most importantly, for our customers.”
